SUMMARY
The Clinic Manager is responsible for overseeing daily operations, ensuring quality
urgent care services, and managing an interdisciplinary team to promote efficiency
and patient satisfaction.
The Clinic Manager reports directly to the Owner/Physician and is responsible for
ensuring compliance with policies, financial oversight, staff supervision, and
operational effectiveness.
Provides administrative support in human resources, financial oversight, and team
leadership, ensuring alignment with the organization’s mission, values, and strategic
plan.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Clinic Operations Management
Oversees daily clinic operations, ensuring seamless workflows.
Ensures all staff follow UniCare Plus Urgent Care policies and procedures.
Coordinates and leads clinic team meetings to ensure effective communication and
collaboration.
Implements quality control measures to enhance patient care and operational
efficiency.
Ensures the clinic is adequately staffed for optimal patient care, including
weekends.
Holds employees accountable for timeliness, professionalism, and adherence to
policies.
Reports any incidents or operational concerns directly to the Owner/Physician.
2. Staff Leadership Performance Management
Builds and maintains a high-performing, team-oriented work environment.
Ensures Medical Assistants (MAs) are cross-trained for both front and back-office
roles, particularly for weekend shifts.
Conducts interviews, hiring, and onboarding of new staff.
Provides monthly performance reviews and ongoing feedback to staff.
Approves and monitors scheduling, time off, and training to ensure proper
coverage.
Ensures timely and accurate payroll submission.
3. Financial Billing Oversight
Monitors and ensures clinic financials remain within budget.
Verifies timecards for payroll accuracy.
Ensures timely deposits from the front desk’s daily collections.
Manages petty cash and clinic inventory.
Oversees billing processes, ensuring claims are accurate and compliant.
Coordinates with the billing team to resolve discrepancies and optimize collections.
Works with the Owner/Physician to monitor financial reports and address
outstanding balances.
4. Compliance, Safety Cleanliness Standards
Ensures compliance with all state, federal, and UniCare Plus Urgent Care policies.
Maintains a clean and organized clinic environment.
o Enforces proper food disposal policies (e.g., food must be discarded in the
breakroom).
Ensures staff comply with health and safety regulations.
Reports any compliance violations or patient safety concerns directly to the
Owner/Physician.
5. Front Desk Patient Experience Oversight
Ensures timely and efficient check-in processes with verified insurance.
Ensures front desk collects:
o Co-pays, co-insurance, and past-due balances at the time of visit.
o Offers self-pay rates to patients with high deductibles or out-of-network
plans.
o Processes credit card pre-authorizations for patients with outstanding
balances.
Confirms insurance verification accuracy before patient check-in.
Works with the front desk team to ensure out-of-network patients are informed of
their options.
Ensures timely and courteous patient communication to enhance satisfaction.
6. Reporting Communication
Provides regular operational reports to the Owner/Physician.
Ensures clear communication between staff, providers, and management.
Monitors patient complaints and resolves issues professionally.
Collaborates with external vendors, payers, and stakeholders.
7. Other Responsibilities
Participates in UniCare Plus Urgent Care special events and community outreach.
Ensures adherence to confidentiality policies and HIPAA compliance.
Completes other duties as assigned by the Owner/Physician.
SUPERVISORY RESPONSIBILITIES
The Clinic Manager supervises front and back-office staff, including Medical
Assistants (MAs), front desk personnel, and administrative team members.
Reports directly to the Owner/Physician.
EDUCATION EXPERIENCE REQUIREMENTS
Minimum 1 year of managerial experience in an urgent care or healthcare setting.
Strong leadership, problem-solving, and organizational skills.
Experience with financial oversight, billing, and payroll management.
Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Knowledge of insurance verification, medical billing, and compliance regulations.

WORK HOURS SCHEDULE
Full-time position.
Availability required for weekend shifts and extended hours as needed.
Must be flexible to meet the operational needs of UniCare Plus Urgent Care.
Urgent care/Primacy care Experience is highly preferred.
