Job description
SUMMARY: The Agency Advocate, as part of the Agency Support Team, serves as the liaison between PTI partner agents and internal departments. The Agency Advocate is responsible for maintaining our operations and delivering the highest quality of Business-to-Business service to our appointed and prospective agencies. You will work closely with other Agency Support Team members on tasks and projects as needed, utilizing interpersonal and communication skills to cultivate strong relationships with agents and internal departments.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Responsible for maintaining operations and delivering the highest quality of business-to-business service to our appointed and prospective agency partners
- Monitor shared department email inboxes and inbound phone queues
- Effectively handle outbound call or email campaigns and outreach projects as assigned
- Communicate company guidelines and policies effectively to agents, via phone calls, virtual meetings, trainings, emails, etc. as necessary
- Process Agent of Record (AOR) change requests for producers per guidelines
- Provide assistance to agents experiencing login issues with our policy management system and/or document portal and respond to any login-related questions, as needed
- Assist agency partners with escalated inquiries, working with management of other internal departments as needed
- Effectively contact agents to discuss sales targets, training opportunities, guidelines, etc.
- Manage and maintain agency information including Agency Administration (changes to address, phone, contact info, etc.), and obtaining E&O renewal documents
- Handle appointment process for prospective agents by fielding the intake call or email; explaining our appointment process, expectations, and underwriting guidelines; setting the agency up in our management systems; reviewing paperwork submitted, etc.
- Participate in system user acceptance testing and quality assurance testing, working directly and attending calls/meetings with our development team as needed
- Assist with coordinating agency visits and events, including industry trade shows, and events
- Create and maintain department Standard Operating Procedure documentation as needed
- Perform other duties as assigned
REQUIRED QUALIFICATIONS AND SKILLS:
The requirements listed below are representative of the knowledge, skill, and/or ability required to perform this job successfully:
- 4-40, 20-44, or 2-20 licensed
- Previous Property & Casualty industry experience, ideally prior agency experience with homeowners and/or flood insurance
- Ability to work independently and within a team environment to carry out assignments to completion within parameters of instructions given
- Exhibit strong organizational skills with a proven ability to juggle multiple projects at a time and prioritize, while maintaining attention to detail, efficiency, and high customer service standards
- Working knowledge of MS Office (Excel, Word, PowerPoint, Outlook, Teams)
